Price Isn’t the First Decision: Panduit, Work Boots, and a Fence
When I took over purchasing in 2020, I thought the job was simple: find the lowest price, cut the PO, and move on. It took me four years and a few hundred purchase orders to realize that price is only one input. The question I ask now isn’t which quote is cheapest. It’s what we are really buying.
That question matters because buying decisions don’t all follow the same rules. Ariat work boots, Panduit industrial sensors, and a horizontal fence have almost nothing in common on paper. But they taught me one purchasing rule: a low price is only low if the product actually works in your situation.
When Someone Has to Wear It
PPE is the clearest example. Work boots look like a commodity item until someone works in them for ten hours.
In 2022, I compared two bids for safety boots and picked the lower-priced pair. The spec sheets looked close. Both had safety toes, and both promised slip resistance. A month later, the facilities manager told me those boots were sitting in lockers. They were stiff, the fit ran narrow, and the crew didn’t trust them after a full day. We ended up buying a second style.
That purchase taught me to include willingness to wear in the total cost. A work boot that doesn’t get worn offers zero protection. Cost per day matters more than cost per pair.
We now order Ariat work boots for a lot of our crew, but not because of the logo and not for every role. We order them when they’re the right fit. In a purchasing process, that should be the only reason any brand wins.
When It Becomes Part of a Safety System
The second scenario has a different cost structure. Labels, lockout devices, and sensors don’t have to feel comfortable. They have to be correct, compatible, and documented.
Panduit comes up in our orders for arc flash labels, breaker lockouts, and other lockout/tagout equipment. We’ve also started adding Panduit industrial sensors to certain monitoring projects.
When I compare those items by unit price alone, I ignore what happens next. What if a breaker lockout doesn’t match the switch? What if a sensor isn’t compatible with the controller? What if a label becomes unreadable too soon? Those costs aren’t visible at the line-item level. They show up in downtime and rework.
Suppliers with installation support or certified installers often quote higher at first. They also tend to reduce total cost when the product has to work the first time.
And don’t forget the administrative side. If you buy from Panduit more than once, register your company and set up a Panduit login for the person who handles orders. That sounds like small stuff until you need a current spec sheet while the distributor is closed. Direct access saves hours, and hours are a cost.
When the Item Is Really an Installation
The best example I have is a fence project. In 2023, we needed to replace a wood fence around a utility yard, and I handled it like a purchase at first. I wanted wood type, height, and price. The contractor who got the work asked better questions: what the fence was for, what the ground conditions were like, whether the site was exposed, and whether a vertical design or a horizontal fence made more sense for that location.
A horizontal fence has a modern look, but that doesn’t make it the right answer. The design changes how you handle leveling, structural support, board gaps, and wind loads. None of those decisions show up in a lumber quote.
If you search for how to build a wood fence, you will find many methods. The correct method depends on the site and the purpose. The same is true for an industrial sensor project: understand the environment and communication setup before choosing a model.
How to Know Which Category You’re In
Before comparing quotes, ask whether someone will wear it, whether it connects to a safety system, or whether it has to be installed as a finished project. If someone will wear it, include comfort and fit. If it connects to a system, include documentation, compatibility, and support. If it is an installation, include design, site conditions, and labor.
I have not stopped comparing prices. I just stopped treating the first price as the answer. The cheapest quote is the right quote only when it solves the problem on the first attempt. If it has to be worn, connected, or built in place, the real price shows up after the product meets the job.
